Requirements

  • Five years’ experience in a corporate operations or financial administration role
  • Demonstrated management experience
  • Excellent business judgment and decision-making within “people-centric”, collaborative environments
  • Prior exposure to global contexts, whether via professional or personal experience
  • Ability to work in a fast-paced environment, where multiple priorities change frequently, and deadlines are often under significant time pressure
  • Outstanding work quality, detail-orientation, and follow-through
  • Advanced proficiency in Microsoft Office suite and enthusiastic proponent of new technologies
  • Humility, can-do attitude, sense of humor, and team-focused work ethic
  • Undergraduate degree required for overseas applicants that need a work permit
  • Fluent written and spoken Japanese, and business-level English language ability

About Us

Pacific Enterprise belongs to a group of fast-expanding engineering companies with a total of fifty employees located in Nagoya, the centre of Japan's automotive industry. We provide software solutions and other vehicle development services to automotive companies across Japan, ranging from autonomous vehicle system testing and improvement to production line solutions for tier one automakers. Our company has a multicultural workforce, with employees from across the world using Japanese and English as the main languages.

About The Role

The role of the administration team is to handle various tasks such as, but not limited to, screening job candidates for our engineering teams, welcoming new hires, helping them settle in Nagoya – especially for international recruits. The role also involves some financial administration duties, such as preparing reports for our finance manager, completing some payroll activities and using our accounting software for data entry. In addition, there is an operational component to the job which requires organizing the team of administrators, managing workflow and pursuing continuous improvement in the department.

 

We are looking for someone with some prior experience in business operations, financial administration and/or management to support and develop the four-person administration team. The ideal candidate should be well-organized, adaptable to a changing environment and most importantly, a team player. A key expectation for the role is to build management systems for the team and improve efficiency.

 

Responsibilities Will Include

  • Coordination of general management processes across business units including financial budgets, business continuity planning, real estate and visitor management, etc.
  • Business operations
  • Morale & team building
  • Track attendance; coordinate leaves & other work interruptions
  • Assisting with payroll administration
  • Sending financial statements to our Finance Manager
  • Financial administration tasks
  • Issuing invoices to customers
  • Assisting in the recruitment process for other departments
  • Helping with the onboarding of new hires
  • Management of the four-person administration team
  • Dealing with external stakeholders in Japanese and English in both verbal and written form
