Job Description

The Front Office & Security Coordinator plays a pivotal role in maintaining the security and safety of the School community in conjunction with running the day-to-day operations of the Front Office. Additional key elements of the role include support with disaster management and logistics coordination of key school events.

This is a full-time position reporting to the Director of Business Operations and working closely with Admissions, Procurement, classroom teachers and the school nurse. This role requires the coordination of people and information around the campus as a whole, and is therefore office-based but requires time spent in all areas of the school.

Please be aware that the target start date for this job is May-June 2020. 

Responsibilities include:

Security

  • Managing security guard operations including managing the relationship with external security vendors 
  • Supporting the Director of Business Operations in making security enhancements in the school
  • Signing visitors in/out, issuing security passes and informing relevant staff of visitor arrival
  • Signing out students who leave early
  • Covering security duty at the main entrance for part of the day (covering breaks of guards)
  • Signing in late students and informing the grade level teachers
  • Monitoring security in and around the school (CCTV and foot patrols)

Front Office 

  • Managing staff attendance records
  • Managing student attendance records
  • Coordinating shifts of other staff-members to ensure front office is fully staffed
  • Coordinating staff and visitor car parking roster 
  • Coordinating staff traffic duty roster
  • Receiving delivery people and connecting to relevant people in the school
  • Managing switchboard
  • Supporting Parents Association by providing keys/information
  • Assisting student/parent requests as necessary

Disaster Planning / Management

  • Supporting the Head of School and Director of Business Operations with Disaster Planning and Disaster Management, including:
    • Management of emergency supplies and equipment
    • Assisting with communications
  • Conducting community outreach at local police, medical facilities, fire station

Job Requirements

The successful candidate ideally will have the following qualifications and characteristics:

  • Experience working in security operations and / or a customer service environment
  • Experience in an educational setting is a plus
  • An understanding and interest in customer service
  • Working knowledge of both English and Japanese with excellent all-round communication skills
  • Comfort in a relatively fast-paced environment
  • Professional demeanor
  • Positive, approachable, friendly manner (especially around children)
  • Ability to use judgment and respond in emergency situations
  • Ability to both follow and help develop policies and procedures 
  • Experience working with vendors and subcontractors a plus
  • Good attention to detail 
  • Competency with IT software (Google Apps, spreadsheets and customer/student databases)
